Ask for documentation for the exact model
Understand what to clarify when requesting product specifications and compliance documents from a supplier.
Product documentation is most useful when it is connected to a clearly identified model. Similar-looking products can have different materials, specifications and intended uses.
Start with the model reference
Ask the supplier to identify the model and the variant being quoted. The reference on technical documents should correspond to the product you intend to order.
Explain the destination and application
Requirements vary by market and use. Tell the supplier what you require and arrange qualified review where needed. General marketing language is not evidence that a product meets a particular requirement.
Keep a procurement record
Retain the agreed specification, sample approval, relevant documents and written clarifications with the purchase record. If a material or design changes, review whether the documentation still applies.
This article is a general procurement checklist. Product suitability and applicable requirements need to be assessed for the actual workplace and destination market.
