Preparing a useful safety product inquiry
A practical procurement checklist for a clearer B2B safety product quotation request.
A clear inquiry helps both the buyer and supplier work from the same specification. Before requesting a quotation, bring the product, application and order information together.
Describe the application
Explain where the product will be used, the working environment and the destination country. A product photograph can help communicate a design, but it is not a substitute for a written specification.
Specify what needs to be quoted
- Product type or reference model
- Materials, dimensions, colours and size range
- Expected order quantity for each variant
- Required packaging, labels and branding
- Applicable standards and documentation requirements
Make commercial requirements clear
State your delivery destination and preferred trade terms if known. Ask the supplier to identify sample costs, packaging assumptions and quotation validity. Treat price and lead time as provisional until the specification is agreed.
Confirm the exact product
Review the sample and product documentation against your purchase requirements. Resolve substitutions and specification changes in writing before approving the order.
